Who is responsible

ENGELENCE LIMITED, NZBN 9429053912503, provides TradesBud and is responsible for the personal information described here. TradesBud product accounts and data are operated separately from other ENGELENCE products.

Information we collect

We collect account and business details, customer and site information, Jobs, schedules, quotes, invoices, payments, communications, call records when Phone is enabled, uploaded media, AI requests and results, support requests, usage events, device and security records, and billing status. Most Workspace content is supplied by you or received through a channel you connect. We may also derive workflow state, reminders, summaries and safety signals from those records.

When information comes from a business

A trade or field-service business may enter customer, worker, supplier or site information into its Workspace instead of collecting it through a TradesBud form. In that situation ENGELENCE collects and holds the information indirectly so TradesBud can provide the requested business service. We take reasonable steps to notify the person as soon as practicable, including by placing this policy on customer pages and in customer-link messages prepared for the business. The business may give that notice on our behalf. A lawful exception may apply in limited circumstances.

Why we collect it

We use this information to create and secure accounts, maintain one Work record across authorised channels, provide requested product features, generate owner-reviewable assistance, deliver messages you authorise, process and reconcile payments, control abuse and cost, diagnose faults, recover data, support users, improve service reliability, and meet legal obligations. We collect and use it where needed to provide the service you request, for our legitimate business operations, with consent where required, or to comply with law. If required account or Workspace information is not provided, the related feature may not work.

AI and decision boundaries

Configured AI providers receive only the information needed for the requested feature. AI may classify, extract, summarise or draft, but it does not gain permission to send a customer message or make a commercial commitment. Supplier costs, margins, internal assessments and other owner-only material are not intentionally placed in customer replies. You must still review generated content because models can make mistakes.

Service providers and overseas processing

We use contracted providers for application hosting, durable backup, email delivery, payment processing and AI inference. Twilio and ElevenLabs are used only for Workspaces with qualified Phone features. Payment providers receive payment and billing information needed to process a transaction; TradesBud does not intentionally receive complete bank-login or card credentials. Providers may process information outside New Zealand under contractual, privacy and security controls appropriate to their role. We remain responsible for our use of service providers as required by New Zealand privacy law. We do not sell Workspace or customer information and do not allow providers to use it for their own advertising.

Workspace owners and customer information

A Workspace owner decides which customer, worker, supplier and site information is entered or connected and is responsible for having authority to use it. ENGELENCE processes that information to operate TradesBud and follow the owner's authorised actions. Both ENGELENCE and the Workspace owner must meet the privacy duties that apply to their own activities; these responsibilities cannot be transferred merely by these terms. If Phone recording or transcription is enabled, the Workspace owner must give the call notice and obtain any consent required for its business use, while ENGELENCE remains responsible for the way TradesBud processes the resulting information.

Retention, export and deletion

We retain active Workspace information while needed to provide the service and meet operational or legal obligations. The owner can export business data and request deletion. Confirmed deletion removes live Workspace access; encrypted recovery copies expire within 30 days through backup rotation unless a legal duty requires limited information to be kept longer. Billing, security and deletion receipts may be retained separately where needed for accountability.

Security and incidents

We use access controls, encrypted network transport, bounded provider credentials, backups, operational monitoring and owner-authority checks. Account holders must use a strong, unique password and protect access to their devices and email. No online service is risk free. We investigate suspected incidents and will notify affected people and the New Zealand Privacy Commissioner when required.

Access, correction and complaints

You can update many account and Workspace records directly. Customers and other people whose information was entered by a Workspace owner can also ask ENGELENCE for access or correction. To request access, correction, export or deletion, or to raise a privacy concern, contact ENGELENCE LIMITED through support@tradesbud.com or https://tradesbud.com. We may need to verify your identity and authority over the information or Workspace. You may also contact the Office of the Privacy Commissioner.

Policy changes

We will update the version date and give reasonable notice of material changes through the product or account email. Continued use after the effective date means the revised policy applies.
